POSITION: Full Time - Administration & Scheduling Manager
PURPOSE: Under the direction of the General Manager, the Administration and Scheduling Manager is responsible for scheduling the program areas, the invoicing of lease & contractual services, the staffing of guest services & programs and the general office management for the J.D.A. County Sportsplex.
SHIFT DUTIES: Days: Monday through Friday (some evening and weekends)
Time: 8:30 a.m. to 4:30 p.m.

MAJOR RESPONSIBILITIES:

Scheduling and programing of the Sportsplex Program Areas – Responsible for scheduling and programming the Sportsplex program areas including; the ice pads, fieldhouse, meeting rooms, ball diamonds and athletic fields.

Lease and Contract Administration – Assist with administration of leases and contracts within the facility including fitness area, concession, vending machines, sponsorship, and advertising.
-
Special Event Planning – Working closely with volunteer organizations and groups this position is responsible for assisting with the planning of tournaments and special events.
-
Sportsplex Promotion & Marketing Management – Responsible for the upkeep and maintenance of the Sportsplex social media, website, digital campaigns, promotional materials, and marketing initiatives.
-
Sportsplex Administration - Manage the day-to-day accounting, invoicing, cash management, internal financial reporting of the Sportsplex, payroll and working cooperatively with NRI accountants and auditors to ensure that regular financial obligations are met.

Staff Management – Responsible for the supervision and management of guest services and program staff including recruitment, training and performance management and assists with resource management for all Sportsplex employees.

Customer Service – Responds to the needs of the public, assists with public complaints, and provides exceptional customer service.
-
Staff Team Member – Participates as a member of the Nustadia Recreation Inc. and Sportsplex management teams contributing to policy development, strategic planning, budgeting, and business planning.

Safe, Efficient Operation – Working as a member of the Sportsplex management team ensures implementation and adherence to approved policies and practices related to safe, effective, and cost-effective aspects of the assigned work operation.

ADDITIONAL RESPONSIBILITIES:

Provide input into other Nustadia Recreation Inc. facilities and projects, as required.

Attends and provides input at Facility Management Review Team (FMRT) quarterly meetings.

Special Projects – Manages assigned special projects.

Other related duties – other duties as assigned.
MINIMUM QUALIFICATIONS:
-
Diploma in Administration.
-
Ability to use various computer software programs including Microsoft Word, Excel, ActiveNet and Sage.
-
Current First Aid/CPR/AED certification.

PREFERRED QUALIFICATIONS:

University or College degree in Business Administration.
​
TECHNICAL KNOWLEDGE/EXPERIENCE:

Three to five years’ experience in office management, human resource management and program administration.

Ability to prepare a variety of written materials (reports, budgets) for the purpose of documenting activities and conveying information.

POSITION: Full Time Guest Services II
PURPOSE: Under the direction of the Admin & Scheduling Manager, responsible for the front desk at the facility.

SHIFT DUTIES: Days: Monday through Friday
Time: 8:30 a.m. to 4:30 p.m.
Eligible Employees: Internal Members of CUPE 787, employed by Nustadia Recreation Inc at the J.D.A County Sportsplex and external candidates.
Deadline to Apply: Competition will remain open of eligible employees to apply until Monday, April 21, 2025, at 4:00 p.m.

MAJOR RESPONSIBILITIES:

Maintain a thorough knowledge of the J.D.A. County Sportsplex services, facilities, programs, and promotional activities.
-
Provides information and handle complaints from customers in person, via the telephone and by email.
-
Proactively seek opportunities to create memorable customer interactions, assist customers and provide excellent service.
-
Supports the department of Guest Services by providing assigned administrative tasks including but not limited to: bookings, data entry, filing, flood schedules, assisting with event coordination, various organizational tasks and administrative projects.
-
Assist with marketing and promotional materials that need to be updated and posted in print or digitally.
-
Assists with maintaining customer records and monthly invoicing of user groups.
-
Positive Relationships – Develops positive relationships with customers, fellow staff, contractors, and the general public.

Participates as a member of the Guest Services team, taking part in identifying and improving processes for Guest Services, and shares responsibility for effective internal communications through a team approach.

Process payment for program registration, facility rentals, membership sales, drop- ins, POS item sales equipment rental and other items.

Open the gate, count till, close and balance cash outs at the end of the shift.

Clean and maintain the front office area – sweep, vacuum, empty garbage’s and recycle.

Utilizing the Nustadia Recreation Inc. Best Practices – Edition III Health & Safety and

General Facility Operations manual for operational decisions.

Reporting any issues with equipment, customers or facility to Administration & Scheduling Manager or General Manager, filling out daily log, Incident & Accident Reports.

QUALIFICATIONS:
Education:

High School or equivalent.

Office Administration Certificate/Diploma or equivalent experience.

CPR/First Aid certification.
Essential Skills and Experience:

At least two (2) years of experience in customer service environment.

Two (2) years of administrative experience strongly preferred.
-
Strong interpersonal and customer service skills.
-
Must be able to work in a fast-paced environment, with the ability to multi –task while maintaining a high level of professionalism.

Ability to demonstrate service excellence to include compassion, empathy, and support.

Strong written and oral communication skills are necessary to interact with a diverse and multicultural community.

POSITION: Head Skating Instructor:

As the Head Skating Instructor, you will be responsible for the Skating instruction at the J.D.A. County Sportsplex.
Primary duties include:
-
Plan meaningful program activities and complete comprehensive lesson plans.
-
Provide leadership in a variety of skating activities to program participants.
-
Ensure safety and appropriate supervision of program participants.
-
Preparation and maintenance of equipment, supplies and facility.
-
Maintain program records and assist with program evaluation.
-
Provide positive role model leadership and coaching to youth.
-
Facilitate recreation skating programs that focus on social and/or skill-based outcomes.
-
Possess a willingness to take initiative and external leadership duties within program space.

Qualifications

Have skating experience, training, coaching levels and working with young children.
-
Be at least 18 years of age.
-
Possess a minimum of one year of previous leadership, customer service and outreach experience.

Hold current Standard First Aid, Cardiopulmonary Resuscitation (CPR), and Automated External Defibrillator (AED) certifications.
-
Experience with target population (age 3 – 12) and skill-based outcomes.
-
Willingness to take specific training [i.e., High Five (Principles of Healthy Childhood Development [PHCD]) training].
-
Previous training and knowledge of Physical Literacy will be considered an asset.
